Workflows, starts and steps
What a workflow is, what can start one, and the steps you can build it from.
What starts a workflow
- Email to your forwarding address, or arriving in a connected Gmail or Microsoft 365 inbox.
- A website form or another app posting to the workflow’s own address.
- A schedule: every day or every week at a set hour, UK time.
- An event in a connected app: an invoice going overdue in Xero, a deal won in HubSpot or Pipedrive, or a job completed in ServiceM8.
- A WhatsApp message to your business number.
Steps
Steps sort email, look the sender up in your accounts or CRM, draft a reply with Claude, pick out details such as a date or an amount, ask you or your team for something, make a Word document or PDF on your letterhead, add a spreadsheet row, offer free times from your calendar, book appointments, and send replies once their setting allows.
Making your own
Start from an example on the Workflows page, describe what you want in your own words with Describe it, or build one block by block in the editor. Each workflow can be switched on and off; switching one off stops new items reaching it, and anything under way finishes.
